Booking of Computer Rooms, OMR and Multimedia Stations

Service Overview

To make reservation, staffs, course coordinators, faculty functional heads, faculty secretaries, faculty/department heads and Dean of faculty can submit request through web on-line reservation.

Access

Booking in advance with approval is required. Access with UM campus card.

Important Notice

Long-term bookings (last for one month or above, and up to one semester) should be made at least two weeks in advance, with computer major syllabus courses being given higher priority for computer tutorial rooms. Short-term bookings should be made at least two working days in advance. Requests are processed on a first come, first served basis.

  • Booking request should include a valid course code and description, name of the class lecturer/instructor, date, time and duration.
  • Those booking requests not containing the required information will be rejected and returned to the course coordinator or the staff concerned.
  • If any special arrangement of computing facilities and/or software, user account(s) are required, it must be clearly specified in the written booking request.
  • Such requests should be submitted to ICTO two days in advance to allow enough time for them to be checked and processed.
  • Verbal bookings, either by phone or in person, will not normally be accepted, except in cases of extreme urgency.
  • A booking should only be made for tutorial classes conducted by academic staff and not for use by a particular group of students.
  • If a user has made a booking and later finds out that it will not be required, he/she should inform ICTO immediately so that the room can be released to other users.

In order to maximize the efficient utilization of resources, the following policies apply to the requests for long-term bookings:

  • Booking requests will only be accepted during the registration period and the examination period of each semester.
  • Booking requests will be processed in batches during course enrolment (including confirmation and resolution of conflict).
  • Priority will be given to full-time computer-related degree courses and postgraduate degree programs for computer tutorial rooms.
  • Late requests for booking or requests for changes to the original booking will be processed after all on-time requests have been fulfilled.
  • If an academic staff does not use the room at the time booked by him/her for two consecutive times without prior notice to ICTO, ICTO may cancel the whole long term booking of the room.
